Paperless, efficient, license-free – directly integrated into Microsoft 365
In a joint project with a medium-sized company, we implemented a fully digital solution for recording and processing accidents at work and commuting accidents. The aim was to replace manual processes with a high volume of paper, Excel lists and unstructured emails – based on existing Microsoft 365 licenses.
The result: A custom-developed accident reporting app that runs embedded in Microsoft Teams, can be opened in a web browser and uses the full functionality of the Microsoft Power Platform – without additional license costs.
The path to the app – from paper to platform
In the past, accidents were documented using a manual form or by email, sometimes later transferred to Excel. This was error-prone, confusing and almost impossible to evaluate. Together with the customer, we completely digitalized the process – without media disruptions and with a focus on user-friendliness.
The technical implementation was based on the Microsoft Power Platform:
SharePoint lists as a structured and versioned database
Power Apps for the mobile and browser-based user interface
Power Automate for the automation of notifications
Microsoft Teams for integration into the daily work routine
Power BI for the evaluation and presentation of trends and accident frequencies
The app in action – gallery & functions
The app runs either directly in Microsoft Teams or in the web browser – depending on how users can work best. It is specially designed for one-handed operation on a smartphone: large buttons, clear structure, easy navigation.
All selection fields (e.g. for participants) access the Active Directory used in the company – so employees can be conveniently searched for and selected without having to type in names manually.
Each form field is equipped with a small help function. When you tap on the question mark, it immediately displays a context-related explanation in a pop-up – directly in the app.
In addition to recording new incidents, all reports that have already been submitted can also be displayed, searched and, if required, even printed out for those who still require paper-based documentation.

Automation & evaluation – without any additional tools
The entire notification chain is automated via Adaptive Cards in Microsoft Teams. As soon as an incident is recorded, the responsible supervisors and authorized persons receive a message with all the details – without manual post-processing.
A Power BI dashboard was also developed for management. This allows trends, incident types and processing statuses to be called up at any time – structured, visual, data protection-compliant and without additional effort.
Full digitization – no license costs
The app uses only the customer’s existing Microsoft 365 environment. There are no additional license costsas Power Apps, Power Automate and SharePoint are already part of the Microsoft tenant.
Of course, development and individual configuration are included in the project. But unlike external SaaS products, there are no ongoing fees. The app can be expanded, adapted or duplicated at any time – completely on your own or together with us.
